Role Overview: Event Co-ordinator
Remunerated Role | Based in Southwick, Hampshire
As Event Co-ordinator for Southwick Revival, you will take on a key organisational role in delivering a large-scale, two-day community event held annually in June. You’ll work closely with the Southwick Revival committee, volunteers, suppliers, and community partners to ensure the smooth and safe running of the event from planning to pack-down.
While you will be an essential part of the planning team, you won’t be doing everything alone — social media, email communications and press outreach are already handled by dedicated team members, so you can focus fully on planning and logistics.
The time commitment for this role varies throughout the year and builds gradually as the event approaches.
Key Responsibilities
Volunteer & Team Coordination

Allocate and organise volunteers across the site (e.g. car park, road marshals, info points)

Respond to volunteer queries and provide regular updates

Ensure clear communication with volunteer leads and area supervisors
Legal, Safety & Compliance

Apply for required permissions, including road closures, TENS licences and council permits

Ensure Health & Safety standards are met, including compiling risk assessments and documentation

Confirm that all required event insurances are in place
Logistics & Supplier Management

Book and liaise with key suppliers such as:

Food and drink concessions

Toilet and hygiene facilities

Buggy and minibus transport
-
Fencing, crowd control and site equipment

Confirm and coordinate with vintage bus providers
Sponsorship Communication

Maintain contact with sponsors before and after the event
Planning & Admin

Act as a central point of contact for section leads and committee members

Book venues (e.g. the Village Hall) for planning meetings and event use

Take and produce minutes from meetings -usually held in the evenings,

Keep records of decisions, contacts, and bookings organised and accessible
Event Delivery

Ensure setup and pack-down teams are in place and briefed

Oversee site readiness, health & safety signage, and key access areas

Be present during the event weekend to oversee logistics and support the team
This is a hands-on, rewarding role ideal for someone who thrives on planning, teamwork, and bringing a community event to life. Experience working with volunteers is essential. Proficiency in Microsoft Office is required.
